- 01 Start from the request, not the inbox The workflow opens from a template that already carries the tasks, the timing and the rules. In practice a customer submits a product request form and the matching procedure applies itself from what they asked for.
- 02 Set the file variables The requirement set is derived from what the customer is buying and where it ships. Change the product line and the document list changes with it, so nobody has to remember which documents a Schedule II site in California needs.
- 03 Review the task timeline The whole procedure in order: questionnaire, registry checks, site visit, threshold, credit, release. Every due diligence step the SOP already requires, sequenced and evidenced rather than living across six inboxes.
- 04 Arm the notification rules Every credential on the account gets a countdown, and the warning goes out 60 days ahead — to you and to the customer. Set once on the template, applied to every file.
- 05 Activate One button turns an agreed procedure into a monitored file. The requests go out on their own and the monitors start counting.
- 06 Run it, and handle two exceptions A state license is caught 58 days from expiry by the monitor rather than by an order holding.
